1. Who we are
Booking Solutions is a multi-tenant booking and scheduling platform operated
by Sterling P. Scott, a sole proprietor doing business as
"Booking Solutions," located in the State of Tennessee, United States
("we," "us," "our"). You can reach us at
support@bookingsolutions.net.
This Privacy Policy describes how we collect, use, and disclose personal
information when you (or the organization you belong to) use our booking
platform at bookingsolutions.net (the "Service").
2. How the Service is structured
The Service is multi-tenant: each customer organization (a "Tenant") has
its own isolated workspace. Within a Tenant, an account owner invites
users — staff, agents, performers — who participate in that Tenant's
bookings. We process personal information in two roles:
- As operator of the platform, with respect to Tenant
account owners and to anyone who interacts with us directly.
- As a processor on behalf of each Tenant, with respect
to the people and information that Tenant uploads or invites into
its workspace. Each Tenant is the controller of its own workspace
data and is responsible for its lawful use of the Service.
3. Information we collect
Information you provide
- Account information: name, email address, phone number, and a profile photo.
- Profile details you choose to add, such as a Google Drive folder URL for document sync.
- Information you submit through the Service, including timesheet entries and document uploads.
- Tenant configuration: organization name, branding choices, billing contact (if applicable).
Information we collect automatically
- Authentication data (login timestamps, session identifiers, two-factor device records).
- Operational logs needed to deliver and secure the Service.
- Standard web request metadata (IP address, user-agent, referrer).
4. How we use information
- To create and manage your account and authenticate you (including 2FA).
- To operate your Tenant's workspace — scheduling, confirming, and coordinating
shows, positions, and meetings.
- To send transactional notifications (email and, where you have opted in, SMS) about
invitations, acceptances, document additions, meeting reminders, and similar
account- or event-driven events.
- To generate timesheets and other operational documents tied to your work.
- To secure the Service, prevent fraud, and comply with legal obligations.
We do not use your information for advertising, marketing campaigns, or
profiling unrelated to the operation of the Service.
5. How we share information
We share personal information only with:
- Service providers who process information on our behalf, including
email delivery (MailerSend, Amazon Simple Email Service),
SMS delivery (Twilio), file storage (Google Drive on your behalf, Amazon S3),
and infrastructure hosting (Render, Cloudflare, Amazon Web Services). These
providers are permitted to use information only to provide their services to us.
- Other Service users within your Tenant — for example,
a show owner sees the names of performers on their show; performers see basic
information about the show. We do not share information between Tenants.
- Authorities or other parties when required by law, subpoena, or
to protect rights, property, or safety.
- A successor entity in the event of a merger, acquisition, or sale
of all or substantially all of the business operating the Service, subject to
equivalent privacy commitments.
We do not sell personal information. We do not share personal
information with third parties for their own marketing purposes.
6. SMS notifications
If you provide a mobile phone number and enable SMS notifications, we may
send transactional messages such as booking offers, schedule changes, and
reminders. Message frequency varies based on your activity. Message and
data rates may apply. You can stop SMS at any time by replying
STOP to any message; reply HELP for help.
Carriers are not liable for delayed or undelivered messages. SMS opt-in
information is not shared with third parties for marketing purposes.
7. Data retention
We retain personal information for as long as your account (and your
Tenant's account) is active and for a reasonable period afterward to
satisfy our legal, tax, and operational obligations. You may request
deletion of your account at any time by contacting us. Some operational
records (e.g., financial records) may be retained as required by law.
When a Tenant terminates its use of the Service, we delete or anonymize
that Tenant's workspace data within a commercially reasonable period,
except as needed to comply with law.
8. Your rights and choices
- Access and correction. You can view and update most account
information directly in your account settings, or request changes by contacting us.
- Deletion. You may request deletion of your account by emailing
support@bookingsolutions.net. We will delete
personal information except where retention is required by law or for
legitimate operational reasons. If your account belongs to a Tenant workspace,
we may forward your request to that Tenant's account owner.
- Notification preferences. You can disable specific notification
types in your account settings. Some critical security notifications may still be sent.
- Residents of California, the EU/UK, or other regions may have
additional rights (such as the right to object, the right to data portability,
or the right to lodge a complaint with a regulator). To exercise these rights,

9. Security
We use reasonable administrative, technical, and physical safeguards to
protect personal information, including encryption of sensitive credentials at rest,
TLS in transit, and optional two-factor authentication on accounts. No
system is perfectly secure; we encourage you to use a strong password
and enable 2FA.
10. Children's privacy
The Service is not directed to children under 13, and we do not knowingly
collect personal information from children under 13. If you believe a child
has provided us with personal information, please contact us so we can delete it.
11. International users
The Service is operated from the United States. By using the Service,
you consent to the transfer and processing of your information in the
United States, which may have different data protection rules than your
country of residence.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material
changes, we will update the "Last updated" date and, where appropriate,
notify you through the Service. Continued use of the Service after changes
become effective constitutes acceptance of the revised policy.
